Thesis monitoring committee
The Physics and Engineering Doctoral School has set up an individual monitoring scheme for each doctoral student.

The individual monitoring committee is a system for monitoring doctoral students provided for in Article 13 of the decree dated 25 May 2016, modified by the decree dated 26 August 2022, establishing the national training framework and the procedures leading to the award of the national doctorate degree
Individual monitoring committee membership
The individual monitoring committee has a minimum of two members:
➔ One reffering member who is a researcher or a faculty from outside the research center or specialist field of the thesis
- the main contact for the doctoral student and for the SPI ED throughout the thesis
- the advisor works at the SPI ED and holds an HDR liste des personnels HDR de l'ED SPI
- put forward by the thesis supervisor and confirmed by the ED
- designated at the time of registering for the doctorate (name to be entered into ADUM and into the ED information form, downloadable from the doctoral student’s account)
➔ One researcher or a faculty with expertise in the field covered by the thesis
- not being part of the doctoral student’s research team (as defined by HCERES)
- not having published with the thesis supervisor(s) for at least three years
- not having any ongoing collaboration with the thesis supervisors’ team
- as far as possible, external to the University of Bordeaux
- put forward by the thesis supervisor in agreement with the doctoral student
- chosen within the first six months of the thesis
It is possible for the doctoral student to suggest a membre of their choice to their committee from the first year.
The thesis supervisor must obtain the proposed individual monitoring committe members’ agreement before the doctoral student fills in the committee members’ names on ADUM.Calendar

The declaration of the committee members is made by the doctoral student in agreement with his/her thesis director

Organization of the individual monitoring committee
- if the initial registration for a doctorate occurs during the academic year (between January and June):the 1st CSI meeting will take place between September and mid-October

Documents to the individual monitoring committee members
One week before the meeting, the doctoral student must send the following documents to the individual monitoring committee members :
- a progress report on their research work
- outline of the report (two-page (max.) typed document written by the doctoral student
- their portfolio
- document available in the Career section of the doctoral student’s ADUM account
- their interim report
- document filled in and signed by the doctoral student and their supervisor and/or co-supervisor.
- the confidential annex (optional document)
- document completed by the doctoral student (when appropriate) to provide complementary information about how their thesis is ongoing. This document is not communicated to the thesis supervisor(s)
Meeting procedure
The organization of the CSI is the responsibility of the doctoral student and his/her supervisory team, who must ensure the logistics. This follow-up takes the form of mandatory meetings (in person or by videoconference), and the sending of documents at least 8 days before each CSI meeting.
After the meeting
At the end of the meeting, the referring member sends to the doctoral student the complete, signed, report including a detailed opinion relating to their re-registration for the doctorate.
The doctoral student uploads a single PDF document to their ADUM page (section: Individual Monitoring Committee) containing:
- a progress report on their research work,
- the interim report,
- the report of the Monitoring Committee meeting.
Frequently asked questions
1. I want to change the composition of my committee.
The composition of the doctoral student’s individual monitoring committee remains constant throughout their doctorate. It's not possible de modify it.
But, it is possible for the doctoral student to suggest a member of their choice to their committee from the first year.
If necessary, the doctoral student can contact the doctoral school to discuss the composition of his/her CSI, after the first year.
2. Can my co-supervisor be part of the CSI ?
Committee members must play no part in supervising the doctoral student’s work.
The director (and if applicable, the co-supervisor) is invited to the presentation of the work and to the scientific discussions that follow.
3. What happens if I have a reserved or an unfavorable opinion from the CSI?
In the case of an unfavorable opinion, the ED management, on the basis of the CSI's report, may ask to meet with the doctoral student and/or his/her thesis director, if applicable.
4. I encounter difficulties during my thesis.
In case of difficulties threatening the good progress of the thesis, the doctoral student has the possibility to fill in a document (confidential appendix) and send it by e-mail to the members of the CSI, before the interview, in order to bring additional information.
